Account and business records
We process the registration details you provide, account identifiers, settings and the ERP records entered by your business so the service can operate. Your business controls its staff access and is responsible for the personal information it uploads. ERP reports and assistant history are scoped to business identity, permissions and selected branches.
Payments, AI and support
Card checkout and recurring billing use Dodo Payments. Payment details are entered on the provider’s hosted pages; we retain billing identifiers and entitlement state. The ERP assistant uses an AI provider to interpret questions and create writing assistance; financial report figures are read from scoped ERP records. Public live chat and contact enquiries go to the Keen Systems website inbox, separately from ERP records. Send only the information needed to handle your enquiry.
Security and cookies
Google reCAPTCHA checks public form submissions. It processes browser and verification information under Google’s privacy policy. We use session cookies, access controls, encrypted assistant history and operational logs to run and protect the service. No security mechanism eliminates every risk. Do not put credentials or payment-card details into chat.
Retention and requests
We retain information while needed to deliver the service, handle support, protect accounts and meet applicable record obligations. Contact us to request access, correction, export or deletion; we may verify your identity and authority. Some records may need to be retained for payment, security or record-keeping purposes. If a provider or request involves processing outside Sri Lanka, its own service terms and privacy information also apply.
